Roof Documentation Every Property Manager Should Keep
For a property manager, the roof can be one of the largest and most expensive components of a building—and one of the easiest to overlook until there’s a problem.
Good roof documentation helps you stay ahead of repairs, plan capital expenditures, manage warranties, and provide a clear history when ownership or management changes.
Here are the key roof records every property manager should maintain:
1. Original Roof Installation Records
Keep the installation date, roofing system type, contractor information, manufacturer, product specifications, and original contract whenever possible. Knowing the age and type of roof is critical when evaluating repair versus replacement.
2. Warranty Information
Maintain copies of both manufacturer and contractor workmanship warranties. Pay attention to expiration dates, coverage limitations, required maintenance, and whether repairs must be completed by approved contractors.
3. Inspection Reports
Schedule regular roof inspections and save every report. Ideally, reports should include photos documenting the condition of the membrane or roofing material, flashing, penetrations, drainage systems, rooftop equipment, and other potential problem areas.
4. Repair and Maintenance History
Document every leak, repair, service call, and maintenance visit. Include the date, location, issue, work performed, contractor, cost, and before-and-after photos. A detailed history can help identify recurring problems before they become major expenses.
5. Storm and Hail Documentation
After significant hail, wind, or severe weather, document the roof’s condition—even if there is no obvious damage. Photos and professional inspection reports can establish a timeline if storm-related problems appear later.
6. Roof Plans and Drainage Information
For larger commercial properties, keep roof plans showing drains, scuppers, penetrations, HVAC equipment, access points, and known repair areas.
The goal is simple: build a documented history of the roof instead of starting from scratch every time there’s a problem.
At The Roofing Center, we help property managers inspect, document, maintain, and plan for their roofing assets—so the next roof issue doesn’t become an unexpected emergency.
